Start with your top questions
Look back over a month of email and list the questions you get most. Write one clear answer to each, agree it, and keep it up to date. Then save each answer, so anyone on the team can use it.
One inbox, one owner
Customers should not wait because the right person is busy. Use one shared inbox, give each email an owner, and agree who covers when someone is away.
Let software draft, and a person send
A draft from your own answers turns a blank page into a quick check. Xevrion's Customers part writes a reply to each new email from your approved answers. A person reads it, changes what they would say differently, and sends it.
Keep replies short
Short replies are quicker to write and to read. Answer the question in the first line, then add only what the customer needs to do next.
Measure the wait
Set a target, such as a first reply within one working day, and check each week how often you meet it. Look at the slowest replies too: they often show a question with no agreed answer yet.
